Sending Docs Checklist for 1040 Tax Returns

Getting your tax return done right and on time means having all your tax documents ready. That's why we made a handle checklist for your tax return. With more companies sending tax documents electronically, this checklist will help you make sure you don't miss anything important.

Tax Docs

We will need the following:

Income:

  • W-2s

  • K-1s

  • 1099s from Banks, Investment Brokers, Government Agencies, Contract work, etc.

  • Cryptocurrency income and gain/loss reports

Deductions:

  • 1098 Mortgage Interest Statement

  • Home purchase or refinance documents, closing disclosures or settlement statements

  • Year-end mortgage loan statements

  • Property or real estate taxes paid

  • Charitable donations

  • Student loan interest statements

  • Child care expense statements

  • Purchase agreement for Electric Vehicle or Hybrid vehicle purchases

  • Invoices for solar and energy home improvements

Other:

  • ​Identity Theft PIN, if applicable

  • 1095-A if using Marketplace Health Insurance

  • Copy of last year's tax returns (if we did not prepare them)

  • Dependent's birth dates

Timeline for Individual Tax Returns

Here are some important dates and thinks to keep in mind to help us manage expectations:

Tax Documents Cutoff
Normal Deadline: March 3rd
Extended Deadline: September 3rd

To guarantee an on-time filing, we need to receive all your tax documents by the deadline. While we often get documents as late as September and still finish on time, we can't always promise it.

eFile Authorizations Cutoff
Normal Deadline: April 8th
Extended Deadline: October 8th
We need to get all eFile authorizations and fee payments.

Filing Day Cutoff
Normal Deadline: April 15th
Extended Deadline: October 15th
The filing deadline for all individual tax returns.

To ensure your tax return is filed on time, send us all your tax documents as early as possible. Our turnaround times vary, and we'll keep you updated with email and text alerts.

Key Dates:

March 1st & September 1st: Our focus shifts to business entity tax returns (S corps and Partnerships) due March 15th, and extended returns due September 15th. The sooner you provide your W-2s, 1098s, 1099s, and other tax documents, the smoother things will go.

Rush Fees for Late Documents:
If you need your tax return rushed after missing our document cutoff date, the following fees apply:
 

  • After September 3rd: $250

  • After September 17: $500

  • After October 1: $750

  • After September 8: Not available


These fees may vary based on your situation and you are only charged if you want a guaranteed timely filing after the cutoff date. Remember, rushing at the last minute isn't ideal, and we handle rush requests on a case-by-case basis.​
 

How to Send Your Tax Documents

We offer worldwide tax preparation services, and communication is key to success. Your comfort in sending sensitive information is our top priority. For your immediate convenience and to keep things running smoothly, we offer only one way to securely send your tax documents to us:

Canopy Tax

Since 2023, we've used Canopy Tax for secure online document exchange. You can upload your tax documents directly to our office. This method saves times and resources as more companies provide electronic year-end tax statements. Canopy Tax will also electronically deliver your tax returns for review before eFiling.

Note on Scanning: If possible, create and submit a PDF for each tax document. This helps us organize your files in your electronic tax binder. Most operating systems have a PDF printer. If not, search for free PDF printers like Cute PDF. It lets you print anything to a PDF file, which is handy for dynamic websites where direct saving isn't possible.
